Just in Time Paper Records Management Tips

Staying on top of paper records is important, particularly if they contain personal or sensitive information about the people we assist.

Our new Just-in-Time Paper Records Management Tips are designed to give you quick, practical guidance.  

 

Start with a simple step: review what you have.

Take a few moments to look through your existing paper records. Ask yourself:

  • What type of documents do you have – client records, financial records, member or volunteer records?
  • How old are the records? What is the last date of service documented in each record, as different record types need to be retained for different periods of time?
  • Are your records stored in a place where they are secure from unauthorised access and protected from damp or mould e.g. in flood impacted areas?

These Just-in-time tips are here to support you with manageable, bite-sized actions—helping you build good records management habits without adding extra pressure to your day.

 

IMPORTANT - If you are leaving the Society or stepping down from a position where you had responsibility for records of any type, please ensure those records are handed over to your Conference President/ Area Manager or return to your closest Vinnie Service Centre, who can link in with the Governance Team to ensure the records are retained, stored or disposed of under the approved process.
